Terms and Conditions for Speakers

1. Introduction

These Terms and Conditions apply to all speakers participating in seminars, conferences, workshops, faculty development programs, and online events (“Events”) organized by SodhEvents, a fully owned division of Mintbotics Edutech Private Limited, registered at Chhatrapati Sambhajinagar, Maharashtra, India (“Organizer”).

2. Speaker Obligations

  • Content Submission: Speakers must submit their presentation materials at least 7 days before the Event. All content should be original, non-infringing, and relevant to the Event’s theme.
  • Presentation: Speakers agree to deliver their presentation in the format and time allocated by the Organizer.
  • Conduct: Speakers are expected to maintain professionalism and adhere to ethical standards during their presentation.

3. Copyright and Intellectual Property

  • Ownership: Speakers retain ownership of their content. However, by participating, they grant the Organizer a non-exclusive, royalty-free license to use, distribute, and display their content during the Event and in related promotional materials.
  • Recording and Distribution: The Organizer reserves the right to record the Event and distribute recordings, including speaker presentations, for promotional and educational purposes.

4. Remuneration

  • Speaker Fees: Any remuneration or honorarium will be agreed upon in writing prior to the Event. Payment will be made within 30 days post-event, subject to the completion of all obligations.
  • Expenses: Any travel, accommodation, or other expenses must be pre-approved by the Organizer and will be reimbursed upon submission of valid receipts.

5. Platform Usage for Online Events

  • Selection of Platform: The Organizer reserves the right to select the platform for online events, such as Zoom, Google Meet, or Webex.
  • Access and Connectivity: Speakers and participants are responsible for ensuring their internet connectivity and compatible devices to access the selected platform.
  • Technical Support: The Organizer will provide basic technical support for connecting to and using the selected platform but is not responsible for any technical issues arising from the user’s hardware or internet connectivity.

6. Privacy and Data Protection

  • Data Handling: The Organizer will collect and use participant and speaker information in accordance with the privacy policies of the chosen platform and applicable data protection laws. Speakers are expected to handle participant data in a compliant manner.
  • Consent to Recording: By participating in online events, speakers consent to the recording of their sessions, which may be used by the Organizer for future promotional or educational purposes.
  • Distribution Rights: The Organizer retains the right to distribute the recorded sessions on the chosen platform or through other digital means for educational and marketing purposes.

7. Cancellation and Modifications

  • Speaker Cancellation: Speakers must notify the Organizer at least 14 days in advance if they are unable to attend. Failure to do so may result in forfeiture of any agreed remuneration.
  • Event Changes: The Organizer may reschedule or cancel the event, including online events, due to technical issues or platform-specific restrictions. Speakers and participants will be notified promptly of any changes.

8. Confidentiality

  • Non-Disclosure: Speakers must keep any confidential information shared by the Organizer strictly confidential and may not use it for any purpose other than for the Event.

9. Governing Law and Dispute Resolution

  • Jurisdiction: These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising shall be subject to the exclusive jurisdiction of the courts in Chhatrapati Sambhajinagar, Maharashtra.

10. Miscellaneous

  • Entire Agreement: These Terms constitute the entire agreement between the Speaker and the Organizer, superseding all prior agreements and understandings, whether written or oral.
